To enable workshop management functionality, WorkPilot collects and processes the following categories of data provided directly by workshop administrators and team members:

Account & Workshop Information: Mobile phone number (used for OTP authentication), workshop business name, address, contact phone numbers, GST number (optional), and workshop logo.
Customer & Vehicle Records: Customer name, contact number, vehicle registration number, make, model, fuel type, odometer readings, and service history entries.
Job & Billing Data: Job cards, parts and labour items, service descriptions, recorded payment amounts, settlement modes (Cash, UPI, Card, Net Banking), and generated PDF invoices.
Team Member Data: Registered phone numbers and role permissions (Owner, Manager, Technician) of staff members invited to your workshop.

3. How Information Is Used

We use the collected information exclusively to provide, maintain, and secure the WorkPilot service, including:

Facilitating phone number verification and secure user login.
Maintaining digital job cards, customer CRM profiles, and vehicle histories.
Generating PDF invoices and financial reporting summaries for workshop owners.
Enforcing role-based access controls among workshop staff.

4. Business Data Isolation & Security

WorkPilot implements tenant-level data isolation. Records created within your workshop are scoped to your business identifier and are inaccessible to other workshops or unauthorized users. We utilize encrypted cloud infrastructure, strict database rules, and app integrity verification.

5. Data Retention & User Control

Your workshop data is retained for as long as your account remains active. Workshop owners have the right to export records or request complete deletion of their account and associated workshop data at any time via our Data Deletion process.
